QASPA MEETING MINUTES
Meeting Convened: 7:05 P.M.
April 15, 2008

Special Presentations prior to official opening of the meeting:
Sumara Thompson-King gave an in-depth presentation of the responsibilities and functions of the QAS Board. Mrs. Thompson-King gave an overview of the AIMS statement and how it applies to parents and independent schools, parents and the Board of Trustees, Parents and the faculty and administration and the Parents’ Association and the school.
She dispelled any myths or rumors that may be floating around the school regarding closing QAS. There are not plans to close QAS and there has never been a board discussion about closing QAS. The school will continue and will adhere to its mission and philosophy.
She will attend ISCA on 4/18/08.
She discussed the various national and state associations in which QAS holds membership.
Discussed transitional issues and faculty changes. Changes are taking place throughout the school in both areas of academics and extra-curricular activities.
Discussed developmenent of QAS academic programs.
Fundraisers – Thanks to QASPA 50% of families have contributed to the annual appeal.
How can we improve our fundraising efforts? The commitment should begin in June and run through February. The Board, QASPA and the Vestry should team to make the most of joint fundraising opportunities.
A way to start is with the auction which should start earlier in the year.
The Black Tie dinner will continue.

Headmaster Blackwood presented on the various challenges in the school and dwindling enrollment. Early enrollment helps the school to make decisions early.
Approximately 90 contracts has been returned so far for the upcoming school year.
Mr. Davey West will be leaving the school after 15 years.
Mrs. Sharon Bagnell will be leaving the school.
Rose Lopez will be leaving the school after 17 years
Miss Holyer will be the Asst. Head of School.
Mr. Sommerville will remain Dean of Students and Summer Program Head.
Mr. Montgomery will be the new Atheletic Director.
Mr. Kolade will be the new Middle School Dean.
Teachers leaving – There are a few unresolved. However 7 teachers will be leaving and 5 new teachers will be hired.
New Art, Math and Art teachers have already been hired for next year.
All department heads are staying.
Each new school year’s tuition is decided in December to begin marketing and prepare re-enrollment materials.
Over the past 15 years approximately 15 new schools are in competition for new students in Middle School grades in the area. Their class sizes are quite a bit larger, the curriculum is not as challenging, but they do charge lower tuition and generally do not offer financial aid.
Other pre-college private/independent high schools in the area are in similar status and accreditation as QAS has tuition at an average of $24K. St. Barnabas’ Church Vestry donates about $200K per year to fund financial aid and property repairs at the school through an endowment and the Belt Trust. This is also the gift that founded the school and build all of the buildings until the Science building drive. This generous gift helps us sustain our lower tuitions and our financial aid outreach. (2008-2009 QAS MS will be $17,600 and US $19,300

Minutes for March 2008 meeting were accepted with minor revisions as written and are posted on the QASPA Website.
Financial Report:
John Piper, Treasurer - we are $2,400 in the positive. However several outstanding expenses haven’t been forwarded for payment.

Queen Anne School News
Warm nights was successful – QAS, St. Barnabas parishioners, students and the Heritage Group assisted.
The Awards Banquet for Middle school is May 7, 2008 and May 8, for Upper school. Volunteers are needed.
One night only - Thursday, April 17, 2008.
Old Bowie Grill Night – Tuesday, April 22, 2008.
Chairs are needed for QASPA committees for next year. If you are interested, please advise Tricia Hurlbutt.
Golf Tournament – QASPA donated money to pay for 4-some.
Committee chairs are needed for membership, Parent Rep, Warm Nights,
Karen Blanchard is the Cell phone recycling chair.
A parent commented that requesting food donations for all of the events are becoming a chore and that food may be eliminated from some functions. A decision will be made at the next meeting.
Used uniform sale efforts will be underway. Angel Parks will work with another parent to clean out the lost and found. Lost and found items may be sold as well if they are not claimed.
Graduating students or students not returning should consider donating used uniform.
Community service hours may be earned per shirt (not final).
Annual Giving – 11th grade is #1 in overall participation. A total of $93,000.00 has been raised so far from all sources.
A special Thank You was given to Trish Hurlbutt for being very instrumental in keeping our fundraising efforts going and for all the work she had done throughout the school. Indeed our hats go off to you for all of your efforts.
